How LeanZupply works
Direct-from-factory purchases, with less friction and more clarity
Last updated: May 21, 2026
LeanZupply connects buying companies with verified manufacturers of industrial and professional machinery, enabling direct-from-factory purchases under a Factory to Business (F2B) model.
The model is simple:
- The manufacturer lists, sells and invoices the equipment directly to the buyer.
- The buyer purchases and pays for the equipment through the flow coordinated by LeanZupply, taking on the role that corresponds to it according to the modality of the operation.
- LeanZupply structures, orders and facilitates the entire process, without acting as seller or importer.
Our focus is to bring transparency, traceability and order to operations that have traditionally been complex, slow and opaque.
Commercial FAQ
Who we are, who we serve, what advantages we offer.
What is LeanZupply and what is its role?
LeanZupply is a F2B (Factory to Business) facilitator platform that connects professional buyers with verified manufacturers of industrial and professional machinery.
Our role is to structure and accompany the purchase process: organising technical and commercial information, verifying manufacturers, coordinating secure payments and facilitating logistics where applicable.
LeanZupply is not an agency, a trader, or a reseller. We are the operational framework that allows buyer and manufacturer to do business with each other directly, professionally and traceably.
Who can buy on LeanZupply?
LeanZupply is aimed exclusively at professional buyers who acquire machinery as end-user companies of the goods:
- Restaurants, hotels, gastronomic chains, catering.
- Bakeries, pastry shops, ice-cream parlours and production kitchens.
- Food industry and production centres.
- Packaging, refrigeration and logistics companies.
The platform is not intended for private or domestic consumption, nor are the published products oriented to that use.
To register as a buyer, complete tax data and a declaration of registered professional activity are required (NIF/CIF/VAT-ID, EORI where applicable, fiscal address).
Why buy through LeanZupply?
Real access to manufacturers. Direct connection with verified manufacturers — no traders, no opaque intermediaries.
Curated catalogue and standardised information. Complete, comparable, verifiable technical sheets. None of the noise of a generic marketplace.
Structured, traceable payments. Funds held and released by milestone, no direct unbacked transfers abroad.
End-to-end operation handled. Logistics, customs where applicable, insurance and delivery managed as one integrated process, with estimated and itemised costs from checkout.
Documented regulatory compliance. Documentation, certifications and traceability as a condition for publication.
What kind of manufacturers work with LeanZupply?
We work with real, verified manufacturers, not with traders or resellers. Each manufacturer on the platform:
- Actually produces the equipment it publishes.
- Has its own brand or one in development.
- Has an organised catalogue, complete technical documentation and applicable certifications.
- Commits to standards of transparency, reasonable delivery times and post-sale technical support.
- Accepts open ratings from buyers.
LeanZupply is not an open, unchecked marketplace: every manufacturer goes through a verification process before being able to publish.
How are manufacturers verified?
Manufacturer verification is one of the core pillars of LeanZupply.
Before publishing products, each manufacturer must demonstrate:
- That it is a real manufacturer (not a trader, broker or reseller).
- Legal data and corporate registration (registered name, TAX ID, registered brand).
- Visual evidence of the facilities (production lines, warehouse, staff, container loading).
- Actual production capacity, installed equipment and machinery.
- Applicable certifications (ISO 9001, CE, FDA, BRC or others depending on the sector).
This information is reviewed by the LeanZupply team before approving publication.
Do the machines comply with European regulations?
We only publish products whose manufacturers declare and document compliance with the applicable regulations of the destination market.
As part of the publication process, each product must declare
- Model-specific certifications (CE, EMC, RoHS, etc. as applicable).
- Complete technical documentation (manual, datasheet, spare-parts breakdown).
- Match between the manufacturer's registered name, the product model and the certificates.
LeanZupply reviews documentary consistency before approving publication, but the legal and technical responsibility for product compliance lies with the manufacturer. If doubts arise about specific certifications for a project, they can be requested before purchase.
In which countries do the manufacturers operate and from where are the equipment delivered?
LeanZupply works with three modalities of origin operation, each with different conditions and lead times:
1. Direct factory purchase with delivery from Asia (origin China / Taiwan)
The equipment is produced and shipped from the Asian origin port. The operation includes international sea freight, insurance, customs clearance in Spain and import taxes. The buyer appears as the importer of record, since the goods enter the European customs territory for the first time. Typical lead times: 30 to 90 days.
2. Purchase from an Asian manufacturer with stock in a European warehouse
The manufacturer keeps stock available in a warehouse inside Europe. The equipment was already imported and cleared when it entered the European stock, so there is no new import operation: the buyer purchases intra-EU or domestically, depending on location. Costs go down and lead times drop to 3-10 business days.
3. Purchase from a European manufacturer with delivery from Europe
Manufacturers with production or stock inside the European Union, delivering on EXW terms from their facility. The operation is intra-EU or domestic, with no import or duties, and logistics costs follow standard European rates. Typical times: 3-15 days depending on location.
In every case, the buyer sees the estimated costs and lead times before confirming the purchase, depending on the modality of the selected product.
In which countries does LeanZupply operate for purchase and final delivery?
We currently operate with delivery in Spain.
Next expansion: Portugal, in the coming months.
Roadmap: the rest of the European Union progressively.
If your company is in another European country and you have a concrete project, you can contact us to evaluate the operation case by case while we expand formal coverage.
Can I buy if I have never imported machinery before?
Yes. LeanZupply is designed precisely for companies that need professional equipment but neither want nor need to become foreign-trade experts.
We accompany the process so you understand every step, the costs are estimated from the start and you have full documentary traceability from the moment of the order.
How it works
The operational detail: payments, costs, logistics, installation, spare parts.
Does LeanZupply sell or import the machinery?
No.
- The manufacturer is the seller and issues the commercial invoice directly to the buyer.
- The buyer is the acquiring party and, depending on the modality of the operation, appears as importer (Modality 1) or as intra-EU or domestic acquirer (Modalities 2 and 3).
- LeanZupply is the facilitator: it organises the flow, verifies the manufacturer, coordinates payments and logistics where applicable, but does not take part in the sale nor takes title of the goods.
This structure is what makes the operation truly factory-direct, without hidden commercial intermediaries or unnecessary mark-ups.
How do payments work? What happens if I pay and the equipment doesn't arrive?
Payments on LeanZupply are structured, milestone-based and traceable, designed to reduce the uncertainty typical of international purchases.
How the payment flow works
- The buyer pays LeanZupply (not the factory directly) through a professional payment gateway (Stripe Connect).
- The funds are received in LeanZupply's operating account and held until the corresponding operational milestones are met.
- LeanZupply releases payments to each counterparty (manufacturer, freight forwarder, customs broker, insurer, etc.) only when the agreed milestones are met.
- The buyer gets full traceability of every movement.
Why this reduces risk
- The buyer does not transfer funds abroad without structure or backing.
- The manufacturer only gets paid when it meets the agreed milestones (confirmed deposit, equipment ready to ship, etc.).
- Each actor in the chain gets paid when it delivers its part.
LeanZupply designs an operational framework where payments are orderly, documented and conditional on verifiable milestones, significantly reducing the exposure of a plain, unstructured wire transfer abroad.
What costs does the buyer pay and what is included in the checkout price?
The checkout shows a closed, itemised estimate of the ordinary costs of the operation. The composition varies by product modality (origin and delivery conditions):
🌏 Modality 1 — Factory purchase with delivery from Asia (China / Taiwan)
A classic international import operation. The price includes:
- FOB price of the equipment (manufacturer).
- International logistics (sea or air freight).
- Transport insurance.
- Customs clearance in Spain.
- Import duties and VAT (recoverable depending on the buyer's tax status).
- LeanZupply facilitation commission: 3% on the total operation (FOB + taxes + freight + insurance).
🇪🇺 Modality 2 — Purchase from an Asian manufacturer with stock in a European warehouse
The Asian manufacturer keeps stock in Europe. There is no new import because the equipment was already cleared when it entered the European warehouse. The price includes:
- Equipment price (manufacturer, already on European soil).
- Intra-European logistics to the buyer's destination.
- Applicable VAT (intra-EU or domestic as relevant).
- LeanZupply facilitation commission: 3% on the total operation.
No duties, no customs clearance, no international freight. Lead times: 3-10 business days.
🇪🇸 Modality 3 — Purchase from a European manufacturer with delivery from Europe
Intra-EU or domestic operation. The price includes:
- EXW or equivalent price of the equipment (European manufacturer).
- Internal logistics (intra-EU or domestic).
- Applicable VAT (intra-EU or domestic as relevant).
- LeanZupply facilitation commission: 3% on the total operation.
No duties, no customs clearance, no international freight. Lead times: 3-15 days.
What is common to the three modalities
- The price shown at checkout is a closed estimate of the ordinary costs.
- The LeanZupply facilitation commission is always 3% on the total operation.
- The buyer pays LeanZupply only once, and from there funds are released by milestone to each counterparty.
- Extraordinary costs arising from customs-authority inspections, delays, prolonged storage, regulatory changes or unforeseen incidents are communicated and documented before being applied.
Why the price is competitive: whatever the modality, the buyer avoids the layered margins of traditional resellers and distributors, accessing the manufacturer directly with a facilitation cost lower than that of conventional intermediaries.
Who invoices the equipment and the services?
- The manufacturer issues the commercial invoice for the equipment directly to the buyer. This invoice is the legal basis of the sale.
- LeanZupply invoices the facilitation services to the buyer (the 3% commission).
- Logistics, customs and insurance agents invoice their respective services, managed through LeanZupply but on behalf of the buyer.
This structure provides fiscal clarity and legal backing to each part of the operation.
Does LeanZupply handle logistics and customs?
LeanZupply coordinates the logistics and customs operation end-to-end when the modality requires it, engaging specialised providers on behalf of the buying company.
How it works in practice
- We select and engage freight forwarders, transport agents, customs brokers and insurers from the market, on behalf of the buyer.
- We show the estimated costs and times for each actor before checkout, itemised.
- We handle shipping and customs documentation with each counterparty.
- We track the shipment until final delivery.
- We administer the payments to each counterparty via the scheme described above.
Allocation of responsibilities
- Each operator answers professionally for the service it provides, under its own licenses and professional terms.
- LeanZupply coordinates the process, centralises communication and accompanies the buyer in handling any incident.
- LeanZupply is not a freight forwarder, customs agent or carrier with its own license: each of those services is provided by the specialised operator.
The result for the buyer: an operation managed as one integrated process, with a single coordination point and full traceability, instead of having to negotiate and supervise each actor separately.
Does LeanZupply install the equipment?
Installation, commissioning and maintenance of the equipment are the buyer's responsibility, unless the manufacturer or a local operator expressly offers that service for a specific product. In that case, the specific conditions will be indicated on the product page before purchase.
What LeanZupply does to facilitate this stage
- Centralises the relevant technical information (manuals, electrical requirements, dimensions, installation conditions) before closing the purchase, so the buyer can plan ahead.
- Where available, facilitates contact with local technicians or recommended services within LeanZupply's partner network.
- Accompanies communication between the buyer and the manufacturer for technical questions before or after delivery.
The installation service, where required, is contracted directly by the buying company with the relevant technician or installer.
What if I need spare parts?
Availability and supply of spare parts is the manufacturer's responsibility for each piece of equipment. As part of the publication process on LeanZupply, every manufacturer must report:
- Availability of essential spare parts for the equipment.
- Estimated delivery times.
- Request channel and technical contact.
What LeanZupply does to facilitate this
- Centralises the request and channels it to the relevant manufacturer.
- Accompanies the documentary traceability of the spare-parts order.
- Provides logistics-coordination support when the spare part requires international shipping.
Actual supply of the spare part, its commercial conditions and final lead times depend on the manufacturer.
Terms and conditions (overview)
Summary of the applicable contractual conditions. The full detail is in the legal Terms and Conditions.
Warranty and technical service
The equipment warranty is granted by the manufacturer and is published on each product page before purchase. Before buying, the buyer can review:
- Warranty conditions.
- Spare-parts availability.
- Technical manuals.
- Installation requirements.
What LeanZupply does in warranty management
- Does not replace the manufacturer nor provide its own technical service.
- Centralises communication with the manufacturer to channel claims.
- Accompanies the buyer in documenting incidents and managing the claim.
- Helps interpret technical information and commitments made by the manufacturer.
Our role is to facilitate dialogue, structure the claim and reduce friction during the process.
Can I cancel a purchase?
Cancellation conditions depend on the state of the operation at the time of the request:
- Before confirmation of production or stock reservation: more flexible cancellation conditions may apply, with partial or full refund as relevant.
- Once manufacturing, stock reservation, shipment or customs clearance has started: cancellation may not be possible or may result in non-recoverable costs (deposit to the manufacturer, logistics started, documentary or customs costs already incurred).
- After delivery: return conditions are governed by the manufacturer's warranty policy and by the regulations applicable to business-to-business operations.
How LeanZupply manages this
- The specific conditions applicable to each operation are indicated before confirming the purchase at checkout.
- If a cancellation is requested, LeanZupply coordinates communication with the manufacturer and the other operators involved, and manages the corresponding refunds.
- Any non-recoverable cost is documented to the buyer.
What happens if customs inspects or holds the equipment?
Customs inspections are actions of the competent customs authority and may occur during the import process. They can cause delays in delivery or extraordinary costs (port storage, demurrage, additional documentary review, among others).
How LeanZupply manages this
- Coordinates with the customs broker engaged for the operation and centralises communication with the buyer.
- Provides documentary and operational support so the buyer can respond promptly to the customs authority's requirements.
- Follows up on the situation until resolution.
Important: the decision on the inspection, the release of the goods and the corresponding timing are the exclusive competence of the customs authority. Extraordinary costs arising from an inspection (prolonged storage, demurrage, additional documentation, etc.) are borne by the buyer as the holder of the import operation, and are communicated and documented.
These events are infrequent in operations with correctly prepared documentation, which is why LeanZupply reviews documentary consistency before shipment and works with professional customs agents on every operation.
How to get started
- Browse the catalogue and find the equipment you need.
- Request information or proceed straight to checkout.
- LeanZupply coordinates the entire operation through to delivery.
This document describes the general functioning of the platform for informational purposes. The contractual conditions applicable to each operation, as well as the specific responsibilities of each party involved (LeanZupply, manufacturer, buyer, logistics and customs agents), are governed by the Terms and Conditions for Buyers, the Terms and Conditions for Manufacturers and the Privacy Policy in force at the time of purchase.
